WHAT DATA ARE PROCESSED?

GENERAL

When you visit our websites, personal data is also processed.

To correctly display all pages of our websites in your browser, the IP address of the device you are using must be processed. Additional information about your device’s browser will also be collected. We are legally obligated to ensure the confidentiality and integrity of the personal data processed by our IT systems.

For this purpose, the following data are logged:

  • IP address of the accessing computer (for a maximum of 7 days)
  • Operating system of the accessing computer
  • Browser version of the accessing computer
  • Name of the retrieved file
  • Date and time of website request
  • Amount of transferred data
  • Referring URL

The IP address will be deleted from all systems involved in the operation of these websites after a maximum of 7 days at the latest. We can then no longer establish a personal reference from the remaining data. Furthermore, the data is also used to fix errors on the website. To protect the security of your data during transmission, we use encryption methods (e.g., SSL) over HTTPS that correspond to the current state of technology.

The legal basis for this data processing is Art. 6 Para. 1 lit. f) GDPR. Our „interest“ according to Art. 6 Para. 1 lit. f) is the operation of this website, the implementation of the protection objectives of confidentiality, integrity, and availability of the data.

E-MAIL CONTACT

We offer the opportunity for contact on our website via the provided email address. In this case, the personal data of the user transmitted via email will be stored.

Email inquiries are usually stored in our CRM system. The CRM system is regularly checked to determine whether data can be deleted. Should data no longer be necessary within the context of a customer or prospect relationship, or should the customer’s or prospect’s contrary interest prevail, we will delete the relevant data, if there are no legal retention obligations.

The legal basis for this data processing is Art. 6 Para. 1 lit. f) GDPR. Our „interest“ according to Art. 6 Para. 1 lit. f) is the communication with customers and prospects.

COOKIES

Cookies are used on our websites. Cookies are small text files stored in your device via your browser. We use session cookies, which are automatically deleted by your browser immediately after you finish visiting the websites. For web analytics, we also use persistent cookies. Server requests made from our website, such as libraries and plugins (especially Google services, which will be discussed in more detail below), generate cookies.

The cookies are necessary to enable certain functions of our websites, such as distinguishing whether a visitor is on our site for the first time and evaluating the use of the websites and compiling reports on activities on the websites. Based on the use of the websites and the internet, further related services are then expected to be provided. The processing is based on the legitimate interest of the website operator.

You have the option to block the setting of cookies by making the appropriate settings in your browser. However, we would like to point out that this may restrict the use of our websites. No programs or other applications will be installed or started on your computer by cookies.

The legal basis for this data processing is Art. 6 Para. 1 lit. f) GDPR. Our „interest“ as per Art. 6 Para. 1 lit. f) is the operation of these websites.

USE OF GOOGLE ANALYTICS

On our websites, we use Google Analytics, a web analytics service provided by Google Inc. (hereinafter: Google). Google Analytics uses so-called „cookies“, which are text files placed on your computer to help analyze how you use the website. The information generated by the cookie about your use of this website is usually transmitted to a Google server in the USA and stored there. However, due to the activation of IP anonymization on these websites, your IP address will be truncated by Google within the member states of the European Union or other contracting states of the Agreement on the European Economic Area. Only in exceptional cases will the full IP address be sent to a Google server in the USA and truncated there. On behalf of the operator of these websites, Google will use this information to evaluate your use of the website, compile reports on website activity, and provide other services related to website and internet usage to the website operator.

We also use „Google Signals“. In this context, Google utilizes what is called „Cross Device Tracking“. This allows visits to the website by a single visitor using different devices to be associated with that visitor, if they are logged into a Google service during those sessions and have also activated the „personalized advertising“ option in their Google account settings. As a result, no personal data or user profiles are accessible to us. If you do not wish to use „Signals“, you can deactivate the „personalized advertising“ option in your Google account settings.

The purposes of data processing are the evaluation of the use of the internet pages and the compilation of reports on activities on the internet pages. Further related services are then expected to be provided based on the use of the internet pages and the internet. The processing is based on the legitimate interest of the website operator.

You may refuse the storage of cookies by selecting the appropriate settings on your browser software; however, please note that if you do this, you may not be able to use the full functionality of these websites. You can also prevent the collection of data generated by the cookie and related to your use of the website (including your IP address) to Google, as well as the processing of this data by Google, by downloading and installing the browser plugin available at the following link: Browser Add On to disable Google Analytics.

USE OF WORDFENCE SECURITY PLUGIN

This website is secured with the „Wordfence Security“ service, which is operated by Defiant Inc., 800 5th Ave., Suite 4100, Seattle, WA 98104, USA. The use is based on the legitimate interest in the sense of the GDPR. The website uses Wordfence Security to protect against viruses and malware and to defend against attacks by criminals. The plugin uses cookies to determine whether the website is actually being visited by a person or a robot. For the purpose of protection against so-called brute-force attacks (numerous automated login attempts from the same identity) or against hacker comment spam, IP addresses are stored on Wordfence servers. IP addresses that are considered harmless are placed on a whitelist. Wordfence Security secures this website and thus also protects the visitors of the website from viruses and malware. This represents a legitimate interest within the meaning of the GDPR. The Live Traffic View option of the plugin is reduced to a security-relevant listing. For more information on the collection and use of data by Wordfence Security, please refer to the provider’s privacy policy: https://www.wordfence.com/privacy-policy/.

INTEGRATION OF THIRD-PARTY SERVICES

It may occur that within our websites, third-party content such as RSS feeds or graphics from other websites are integrated. This always presupposes that the providers of this content (subsequently referred to as „third-party providers“) perceive the IP address of the users. Without the IP address, they could not send the content to the browser of the respective user. Therefore, the IP address is necessary for the display of this content. We try to use only such content whose respective providers use the IP address solely for the delivery of the content. However, we have no influence over whether the third-party providers store the IP address for statistical purposes, for example. As far as we are aware, we inform the users about this.

We always ensure that the European data protection standard is maintained to effectively protect your data.

PURPOSES OF PROCESSING PERSONAL DATA

We process the aforementioned data for the operation of our website and to fulfill contractual obligations to our customers.

For inquiries from you outside of an active customer relationship, we process the data for the purposes of sales and advertising. You can object to the use of your personal data for advertising purposes at any time.

VOLUNTARY INFORMATION AND ENHANCEMENT THROUGH THIRD PARTY SOURCES

As far as you voluntarily provide data to us, for example, in email inquiries, and such data is not necessary for the fulfillment of our contractual obligations, we process this data on the basis that we assume the processing and use of this data is in your interest.

For inquiries by email we may enrich your transmitted data with publicly available information, e.g., from your own website or search engine results. We process this data on the basis that we assume the processing and use of this data is in your interest to offer you the best possible pre-contractual consultation.

RECIPIENTS / TRANSFER OF DATA

The data that you provide to us will generally not be shared with third parties unless it is necessary for the purposes of contract processing or information provision. In particular, your data will not be shared with third parties for their advertising purposes.

However, we may use service providers and processors to operate these websites or for other products from us. It may happen that a service provider will have access to personal data. We carefully select our service providers – especially with regard to data protection and data security – and take all necessary legal data protection measures for permissible data processing.

DATA PROCESSING OUTSIDE OF THE EUROPEAN UNION

Zollsoft GmbH uses processors (in terms of IT system providers) from so-called third countries (USA) outside of the European Union (G Suite from Google) for the provision of its services and thus for the processing of personal data.

When selecting service providers from non-secure third countries, care is taken to ensure GDPR-compliant application with regard to data protection and data security. There are data processing agreements with the service providers used, and an adequate level of data protection is ensured using the EU standard contractual clauses.
